Each home meet is divided into four shifts (Set-Up, 1st Shift, 2nd Shift, Take Down).
Check-in times for each shift are noted below.
The end of a shift depends on how fast the meet is progressing. The more volunteers we have at each meet, the more efficient are meets are run, and the faster they go!
Set-Up: Check in at 7:00 a.m. Shift ends at start of 3200 m races.
1st Shift: Check in at 8:00 a.m. Shift ends approximately at start of 100 m races.
2nd Shift: Check in at 10:30 a.m. Shift ends approximately at end of 1600 m relays.
Take-Down: Check in at 1:30 p.m. Shift ends at end of meet clean-up.
In addition to Coaches, there are about 40 volunteers roles to be filled at each track meet. They include Track & Field, Infield, Onsite Sales, and Set-Up / Take Down and Clean Up:
Hurdles / 400 m Relays: Set-up and remove hurdles for the 80 m and 100 m hurdle races. Immediately following conclusion of hurdle races, stages athletes for the start of the 400m relay and indicate with flag when athletes are ready. Places athletes at their start lines, act as line judge and confirm clean baton hand-offs.
High Jump - Manage overall flow of competition. Place and reset high jump bar. Judge and record jumps.
Long Jump - Manage overall flow of competition. Judge and record foot placements and line faults. Measure jumps. Rake sand.
Shot Put - Manage overall flow of competition. Judge foot and record placements and line faults. Measure distance of shot put throws.
Announcer - Serve as Emcee during the meet. Communicates with Staging and all Field Event captains on status of events. Advises athletes of 1st call, 2nd call and 3rd call for start of races / field events. Updates athletes, spectators and volunteers on special announcements and other information.
Staging (Lead Stager, Heat Entry, Stickers, Athlete Escorts) - Organizes athletes by heat and lane assignment before start of race. Works with Heat Entry Coordinator. Places correct hip sticker on athletes once they are assigned to a heat/lane. Places and checks athlete competition stickers for accuracy.
Timing (Lead Timer, Start / Finish Line Coordinators) - Enters athletes into the timing system computer once heats are formed in staging. Ensures athletes are in the correct lane before the start of race. Acts as liaison between Timing Coordinator and Starter. Manages flow at finish line. Assists Timer by keeping track of laps-to-go for each athlete in distance races. Directs athletes off the track after each race. Enters real-time competition data into laptop (requires strong data entry / computer skills).
Concessions / Snack Bar - Set-up and food and drink for sale as part of team fundraiser. Sell concessions during meet. Clean-up at end of meet.
Merchandise / Gear - Set-up Roadrunner merchandise for sale as part of team fundraiser. Sell merchandise during meet. Pack-up and store merchandise at end of the meet.
Set-Up - Set-up Pop-Up tents and event equipment prior to start of meet.
Take-Down - Take down tents and equipment and place in storage at end of event.
Clean-Up - Clean-up all trash on and around track.
